School Policies

The Arcadia Education Group Limited

Materials and Staff

  1. All lesson materials provided by The Arcadia Education Group Limited instructors, including textbooks and worksheets, remain the property of The Arcadia Education Group Limited. Unauthorized reproduction, distribution, or sharing without prior written consent from The Arcadia Education Group Limited is strictly prohibited. Some courses may require an additional fee for textbooks and other materials.
  2. All issues related to lesson scheduling, payment, and logistics should be addressed with our Educational Consultants and Center Managers. The Arcadia Education Group Limited instructors are not responsible for these matters. Direct contact with instructors outside of lesson hours is discouraged; please arrange any necessary discussions through our front desk or via email at info@thearcadia.hk.
  3. Only full-time employees, including teachers and counselors of The Arcadia Education Group Limited, are authorized to provide educational services at our centers.

 

School Admissions

  1. The Arcadia Education Group Limited reserves the right to refuse admission to any student deemed detrimental to the welfare of the school.
  2. Enrollment may be discontinued at any time due to poor attendance, unpaid tuition, disruptive behavior, or any actions that hinder school operations or other students’ learning experiences.

Lesson Reservations and Bookings

  1. The Arcadia Education Group Limited operates on a first-come, first-served basis, confirmed by payment. Lessons verbally confirmed or past the confirmation deadline without payment may be released.
  2. Payment is required before attending classes. Students arriving without prior payment may be denied class entry. Ensure payments are made before attending.
  3. For future bookings, lessons must be confirmed and paid for within three working days or by the 24th of the current month, whichever is earlier.
  4. Regular timeslots are held only for students booking three or more lessons monthly with the same teacher. Payment for the subsequent month’s lessons must be made no later than seven days before the new month begins.
  5. Timeslots will not be held for students booking fewer than three monthly lessons with the same teacher. Compliance with our booking policy is necessary to retain a timeslot.
  6. Students are encouraged to attend all scheduled sessions to maintain teaching progress and their reserved slots. Missing more than 30% of scheduled lessons may result in the loss of the reserved timeslot.
  7. The Arcadia Education Group Limited does not offer make-up classes or refunds for absences due to school activities, field trips, illness (unless supported by a medical note), or scheduling conflicts.
  8. Same-day bookings incur a $200 surcharge.
  9. Lessons are non-transferable; only the student named at booking may attend.

Lesson Cancellations and Rescheduling

  1. Lessons canceled at least 14 days in advance may be rescheduled or refunded.
  2. For cancellations made 48 hours to 14 days before the scheduled lesson, we offer at least one rescheduling option within seven days of the original date. If no suitable rescheduling option is available, the lesson fee is forfeited.
  3. Lessons canceled less than 48 hours before the scheduled time are non-refundable and cannot be rescheduled unless due to a medical emergency, supported by a doctor’s note.
  4. Final decisions on rescheduling and refunds are at the discretion of The Arcadia Education Group Limited management.

Refunds

  1. Full refunds are provided if a course is canceled before it starts.
  2. Full or pro-rata refunds are issued if a course cannot be operated as scheduled, and students decline alternate arrangements, within one month of a refund request.
  3. Pro-rata refunds are provided for courses discontinued after starting, as soon as possible and within one month of cessation.
  4. Refund procedures are communicated via telephone or in writing, with receipts retained by students or parents after signing to acknowledge receipt. Refunds are made in cash or by cheque.

Adverse Weather Conditions

  1. The center closes for typhoon signal No. 8 or above or black rainstorm warnings. Classes resume two hours after warnings are lowered.
  2. In case of worsening weather conditions during class hours, students are dismissed early, and parents are informed of the dismissal time.
  3. Lessons affected by adverse weather are rescheduled within 24 hours if possible; otherwise, they are not refunded or rescheduled.

The Arcadia Education Group Limited reserves the right to amend these policies and terms without prior notice.

3.1 The Arcadia Education Group Limited endeavors to ensure that the website is available 24 hours a day. However, we will not be liable if, for any reason, the website is unavailable at any time or for any period.

3.2 Access to the website may be suspended temporarily and without notice in the event of system failure, maintenance, repair, or for reasons beyond The Arcadia Education Group Limited’s control.

4.1 Other than personally identifiable information, which is covered under our Privacy Policy, any material you transmit or post to the website is considered non-confidential and non-proprietary. 4.3 The Arcadia Education Group Limited will fully cooperate with any law enforcement authorities or court order requesting or directing us to disclose the identity or locate anyone posting any material in breach of clauses 4.2 or 4.3.
